Adding Deals via Email to your CRM

Overview

The Add Deals via Email feature allows you to create deals in your CRM by sending an email to a pipeline-specific email address, letting you quickly log opportunities without manually entering them into the CRM.

Any email sent to your pipeline address will:

  • Automatically create a new deal, when an email is sent, forwarded, or CC'd

  • Add the deal to the default stage of the pipeline

  • Log any replies or forwards within the same thread as notes on the deal


Finding Your Pipeline Email Address

Each pipeline is assigned a unique email address in the format:

<6-letter-id>@crm.tracxn.com

To find the unique email address of your pipeline:

  1. Go to Deal Flow CRM

  2. Open the pipeline where you want to add a deal.

  3. Go to Add Deals → Add Deals via Email

  4. Copy the pipeline’s unique email address or email it to yourself for faster access.

How Deals Are Created (Email Format)

When an email is received, the system parses it and maps the content to the following deal fields:

Email Field

CRM Field

Subject

Deal Name

Body

Deal Notes

Attachments

Deal Attachments

Recipients

Associated Entity

The deal is created in the default stage of the pipeline.

Permissions & Requirements

  • The sender’s email ID must be a part of your Tracxn account.

  • If the email address is not recognized, the deal will not be created.


Tips

  • Use a clear and unique subject line so the deal title is easy to identify.

  • Add relevant documents as attachments to keep deal materials organized.

  • CC relevant contacts to automatically associate them with the deal.
